Done-for-you system · based on a real project, 2026

From website to lead on your phone: a lead system for small businesses

Your website, your ads, a CRM and your team’s Telegram group, connected into one system. Every inquiry reaches you in about a minute and already shows where it came from. Below is the system we built for a remodeling company: the real project is in Warsaw, Poland, and our examples set it in Chicago.

Budgets from US$1,000 a month. Ad spend is paid to Google or Meta directly.

In plain words

What a lead system is

A lead system connects everything between the first click and the signed job: the ads, the website, the analytics, a CRM and the lead alerts.

A CRM, short for customer relationship management, is the list of every inquiry: who reached out, what they need, where they came from and how far the deal has gone. On its own, though, it is an empty database: someone still has to connect the forms, tag the ads and count the calls. Without that, the CRM shows names but not where they came from.

  • Leads don’t get lost between calls, forms and messages.
  • You see who on the team took the customer and what happens next.
  • You see which ads bring jobs, not just clicks, and what one lead costs.

We don’t sell a CRM app. We build the whole system for you, already connected. It fits local services where customers call and write, such as contractors and home-service businesses.

Case · 2026

Example: a remodeling company

The real project is in Warsaw, Poland: a company that renovates bathrooms, apartments and houses for clients who speak Polish or Ukrainian, so everything works in two languages. For a US or Canadian company the system is the same, with the site and the ads in English, and our mock-ups set it in Chicago. Step by step:

  1. Step 1

    Website

10 pages: services, a gallery of finished projects and request forms. No WordPress or plugins, so there is nothing to keep updating.

  2. Step 2

    Analytics and consent

Google Analytics, the Meta Pixel and a cookie consent banner under the EU’s privacy rules (GDPR).

  3. Step 3

    CRM on the client’s domain

Leads, sources and statuses, and spam protection for the forms without a captcha.

  4. Step 4

    Facebook and Instagram ads

Videos with a voice-over and banners for Warsaw and the surrounding area.

  5. Step 5

    Second language version

Another 10 pages with adapted copy and their own addresses, so Google shows each visitor the page in their language.

  6. Step 6

    Search and AI

Structured data for Google, answers to common questions and a separate file for ChatGPT.

  7. Step 7

    Ads in the second language

A separate campaign for the Ukrainian-speaking audience of Warsaw, and Google search campaigns for the queries clients type.

  8. Step 8

    Leads in Telegram

A card in about a minute, status buttons, reminders and a morning summary.

The first lead from ads came on the second day of the campaign.
The source is visible. The CRM records the campaign and the ad each lead came from.
About a minute for the lead card to reach the team’s Telegram group.

The path

How a lead moves

Six stages from the ad to the report. At each one you can see what happens with the customer and what you see.

1. Ads and search

Someone sees your ad on Facebook or Instagram, searches Google for your service, for example “bathroom remodel chicago”, or finds you in a ChatGPT answer.

You see: every ad carries a tag, so later you know exactly which one brought the customer.

Google Ads Meta Ads

2. Website

They land on a fast site in their language. A request takes 30 seconds, and on a phone the call button is always under the thumb.

You see: only real requests. Spam is filtered without a captcha, so people have nothing to solve.

Website design

3. Analytics

A call tap, an email, a messenger tap and a form all count as inquiries, with cookie consent where the law requires it.

You see: the ads learn from people who actually reached out, not just from clicks, and look for more people like them.

4. CRM

The lead lands in a CRM on your domain together with its source: an ad, a Google search, ChatGPT or a direct visit.

You see: the status, the deal value, the spend by channel and the cost of one lead.

5. Telegram

In about a minute, the lead card reaches your team’s group.

You see: the name, the phone, what they need and where they came from, with status buttons under the card.

6. Report

The ad spend is matched with leads and deals, channel by channel.

You see: what one lead costs in each channel, what pays off and where to move the budget.

CRM

Your CRM, on your domain

All leads, their sources and their statuses live on your hosting. You see how many came in, what each one cost and which ads bring deals.

  • Every lead in one place: from the form, from calls, from referrals. You can add a lead by hand too.
  • The first and the last source: where the person came from first and what brought them to the request. An ad, Google, ChatGPT or a direct visit.
  • Statuses from “new” to “won” or “lost” with a reason, the deal value, notes and history.
  • Spend and cost per lead by channel, return on ad spend and an Excel export.
  • Sign-in with a code sent to your email, with no passwords. The data stays with you, not in a third-party service.
Sample CRM stats. The numbers are illustrative.
Lead alerts

Lead cards in about a minute

A new lead arrives in your team’s Telegram group, and the status changes with buttons right under the card. Alerts can also go to your email; we don’t send them by SMS.

  • A new lead in your team group: the name, the phone, what they need and where they came from. Tap the number, and you can call.
  • Buttons under the card take the lead from “Contacted” to a site visit, an estimate and the result. The status goes straight into the CRM.
  • A reminder when a lead is stuck, only during working hours. For the remodeling company, that’s Monday to Saturday.
  • A summary every morning at 9:00: new leads, unanswered ones and today’s site visits.
  • Your team in the same group. Add a manager or a foreman, and they see new leads too.
The names and numbers in the example are made up. After “Contacted”, the buttons go on: talked, site visit, estimate, then won or lost.
Comparison

Done-for-you system vs a CRM app

A CRM app is software you set up yourself or with an integrator. A lead system is the site, analytics, ads, CRM and alerts, already connected, which we build around your business.

Honestly

What we can do, and what we can’t

We say this before we start, so there are no surprises. We don’t promise a number of leads. We promise that you see every lead, with its source.

We do it all

  • A new website, or moving your current site to our stack.
  • A CRM on your domain. It needs hosting with PHP and FTP or SFTP access.
  • A Telegram group with leads for you and your team.
  • Ads on Meta and Google: setup, creatives and management.
  • Analytics, cookie consent and a privacy policy.
  • Copy in your customers’ language and videos with a voice-over for the ads.

Partly, with conditions

  • A site on WordPress, Wix or Squarespace: we connect analytics, ads and lead delivery to the CRM and Telegram, if your form can send data out. We don’t rebuild the site itself; the full system comes after a move.
  • No access to your hosting: the CRM goes on a separate subdomain. We need access to the domain’s DNS.
  • Calls: we see taps on the phone number on your site, not the call itself. Recording calls takes a separate call-tracking service.
  • Messengers: we count taps on WhatsApp, Telegram and similar buttons. We don’t see the conversations.
  • Google and ChatGPT: we build the technical base right away; rankings grow over weeks and months.

We don’t

  • Without access to the domain we can’t verify it with Meta and Google or set up email. The way out is a new domain.
  • Without access to the ad accounts and a way to pay for the ads, we can’t launch campaigns.
  • We don’t promise a number of leads. We promise you see every one, with its source.
  • We don’t put numbers or claims on your site that you haven’t confirmed: years in business, number of projects, free estimates.
  • We don’t read your email or personal messengers.
Getting started

What we need from you, and how we start

We build the system and test it on the live site before any ad goes out.

  1. A call and an audit

What you sell, to whom and in which city. We look at your site, access and ad accounts and say what will work and what won’t.

  2. We build the system

The site, analytics, the CRM and alerts. We test the path from the click to the lead on the live site, with test data.

  3. We launch the ads

We prepare the campaigns, and you switch them on. The ad accounts and access are in your name.

  4. Reports and tuning

Every week we improve the campaigns, and every month you see where the budget goes and what a lead costs.

What it takes to start

  • Access to your domain and hosting, or a decision to buy new ones.
  • Meta Business and Google Ads with access for us. No accounts yet? We set them up together.
  • An email for leads and a Telegram group for your team.
  • Photos and videos of your work, facts about the company. You confirm every number on the site.
  • An ad budget for Meta and Google, which you pay to the platforms directly.

Minimum budget

US$1,000 / month

We take on projects with a marketing budget from US$1,000 a month. You get a quote for your system after a short call and a check of your access.

Questions

Lead system: common questions

Didn’t find your answer? Ask in the form or on the contact page.

What is a lead system, and how is it different from a CRM app?

A CRM app is software you set up yourself or with an integrator. A lead system is the whole path, built for you: the website, analytics, ads, a CRM on your domain and lead alerts, already connected. Every lead arrives with its source, and the data stays on your hosting. If you need complex sales pipelines or inventory, a separate CRM app may fit better, and we’ll say so.

Is this example a US client?

No. The real project is a remodeling company in Warsaw, Poland, built in 2026. On this page we set the same system in Chicago as an example, because for a US or Canadian company it works the same way, with the site and the ads in English. We don’t publish results for US or Canadian clients that we can’t confirm.

Do lead alerts come by SMS?

No. Lead cards arrive in your team’s Telegram group in about a minute, with status buttons, and alerts can also go to your email. We don’t send SMS alerts or SMS campaigns. Everyone in the group sees new leads, so you decide who to add: a manager, a foreman or a partner.

Where is my data stored?

On your hosting. The CRM runs on your domain and needs hosting with PHP; without access to your hosting, we put it on a separate subdomain. You sign in with a code sent to your email, with no passwords. We don’t read your email or personal messengers, and if we stop working together, the CRM and the data stay with you.

Do you record or track phone calls?

We track taps on your phone number and on the WhatsApp or Telegram buttons on your site, and count them as inquiries, with cookie consent where the law requires it. We don’t see or record the conversations. If you need the calls themselves counted or recorded, that takes a separate call-tracking service.

How much does it cost?

We take on projects with a marketing budget from US$1,000 a month. How much of it goes to the site and the system and how much to the ads depends on what you already have. You pay for the ads to Google and Meta directly. You get an exact quote after a short call and a check of your access, before the start.
